TRooInbound (a TRooTech co., "we", "us", or "our") operates the TRoo Audit application. This Privacy Policy describes how we collect, use, and protect your information when you use our service.

1. Information we collect

We collect the following categories of information:

  • Account information: Your email address and hashed password when you create an account.
  • HubSpot OAuth tokens: Access and refresh tokens obtained when you connect your HubSpot portal. These are encrypted at rest using AES-256-GCM.
  • Audit results: Aggregated, anonymised metrics derived from your HubSpot portal data. We never store raw CRM records.
  • Usage data: Log data such as IP address, browser type, and pages visited, used for service reliability and security.

2. How we use your information

  • To authenticate you and manage your account.
  • To connect to your HubSpot portal and perform the audit you request.
  • To generate and store your audit results and PDF reports.
  • To send transactional emails (e.g. OTP verification codes).
  • To improve the reliability and performance of our service.

3. HubSpot data access

TRoo Audit accesses your HubSpot portal using read-only OAuth scopes. We do not create, update, or delete any data in your HubSpot account. We read CRM records solely to compute audit metrics and never store raw HubSpot CRM objects on our servers.

4. Data sharing

We do not sell, trade, or rent your personal information to third parties. We may share data with trusted service providers who assist us in operating the service (e.g. email delivery, cloud hosting) under strict confidentiality agreements.

5. Data retention

Audit results are retained for 90 days by default. You may delete your account and all associated data at any time by contacting us at support@trooinbound.com.

6. Security

We implement industry-standard security measures including AES-256-GCM encryption for OAuth tokens, bcrypt password hashing, HTTPS-only transmission, and JWT-based authentication.

7. Your rights

You have the right to access, correct, or delete your personal data. To exercise these rights, contact us at support@trooinbound.com.

8. Changes to this policy

We may update this Privacy Policy from time to time. We will notify you of material changes by email or by a prominent notice in the application.
